Using the website without identifying yourself

You can browse the website and ask general questions without providing your full identity.

If you want AJP Digital Services to contact you, arrange a booking, prepare a quote or provide a service, we will usually need enough contact information to do that.

Information we collect

We aim to collect only information reasonably needed to respond to you, provide the service you request and operate the business safely.

Depending on how you interact with AJP Digital Services, this may include:

  • your name;
  • email address;
  • phone number;
  • suburb or service address;
  • information about the technology problem you describe;
  • booking and appointment details;
  • quote and invoice information;
  • information needed to provide technical support;
  • communications between you and AJP Digital Services;
  • website chat messages;
  • optional website chat ratings and short feedback about the assistant, if you choose to leave them;
  • newsletter subscription preferences; and
  • basic technical information used for website security and reliability.

Website analytics may also collect information about how pages and features are used.

How information is collected

Website AI chat helper

The website may use an AI-assisted chat helper to understand customer enquiries and gather information for Alex.

When you use the chat helper:

  • your messages may be processed by an AI service;
  • the assistant may ask simple questions about your problem;
  • it may provide basic general troubleshooting suggestions;
  • it may prepare a summary of your enquiry;
  • conversation information may be sent to AJP Digital Services for follow-up; and
  • the assistant may make mistakes.

The chat helper does not independently provide a confirmed diagnosis or perform technical work.

Please do not provide passwords, banking details, payment card security information, one-time verification codes or remote-access credentials through website forms or the chat.

If sensitive information is accidentally submitted, AJP Digital Services will aim to avoid unnecessarily retaining or redistributing it where reasonably possible.

If you ask us to email you a copy of the chat, the email address you provide is used to deliver that transcript. It may be associated with the chat session for a short period to support transcript delivery and prevent repeated or abusive sending.

Requesting a transcript by itself does not submit an enquiry to Alex or book an appointment.

If you choose to rate the website chat, AJP Digital Services may review the rating and optional feedback to improve the service.

Optional written comments may also be included in website analytics after automated filtering is applied to remove common sensitive details such as passwords, email addresses and Australian phone numbers where they can be identified.

Feedback may also be analysed using automated tools to identify patterns or suggest improvements.

A rating or comment does not automatically change the assistant's prompts, rules or safety guardrails. Changes are reviewed before they are applied.

Booking information

Online bookings may be handled using a booking or calendar provider such as Cal.com.

Information entered during booking may be processed by that provider and passed to AJP Digital Services so the appointment can be arranged.

Quotes, invoices and customer records

AJP Digital Services uses business systems such as Invoice Ninja to help manage customer information, quotes, invoices, payments and service records.

Information stored in these systems may include contact details, invoice details, payment status and information relevant to providing or following up a service.

Payments

Payments may be processed by third-party payment providers made available through AJP Digital Services' invoicing or booking systems.

Those providers may process information needed to complete the payment under their own terms and privacy practices.

Please do not send full payment-card details through email or website chat.

Email and communications

AJP Digital Services uses email and related delivery services to send:

  • enquiry confirmations;
  • booking information;
  • quotes and invoices;
  • service communications;
  • chat transcripts when requested; and
  • other messages requested as part of providing support.

Replies may be stored in AJP Digital Services' email and business systems as part of the customer record.

Email tips and updates

If you subscribe to email tips and updates, your contact information is used to send practical technology tips and occasional information about AJP Digital Services.

Subscription is optional.

Marketing messages will provide a way to unsubscribe.

You can withdraw your consent to receive marketing messages at any time.

Service messages that are necessary for an enquiry, booking, invoice or existing job are separate from optional marketing communications.

Australian spam rules generally require consent for marketing messages, sender identification and a functional unsubscribe mechanism, with unsubscribe requests actioned within five working days.

Website security checks

Parts of the website use Cloudflare Turnstile to help reduce automated abuse and keep website forms and chat available to genuine visitors.

Cloudflare may process limited technical information as part of this security check.

Analytics, cookies and similar technologies

The website may use analytics and performance tools to understand how the website is used and identify technical problems.

AJP Digital Services aims to limit information shared with providers to what is reasonably needed for the service being used.

AJP Digital Services takes reasonable practical steps to protect customer information and website systems from unauthorised access, misuse and loss.

However, no internet, email or cloud-based system can be guaranteed to be completely secure.

Customers can help by not sending unnecessary passwords, security codes or financial credentials through normal communication channels.

Storage and retention

Customer, enquiry, booking, job and invoice information may be retained for as long as reasonably needed to:

  • provide and follow up services;
  • maintain business records;
  • respond to later questions about completed work;
  • manage warranties or consumer issues; and
  • meet accounting, tax or other legal obligations.

Some temporary chat and security information may be kept for a short period to support features such as transcript delivery, feedback, duplicate-message prevention and abuse protection.

Information that is no longer reasonably required may be deleted, de-identified or removed from active systems where appropriate.

Access, correction and deletion

You can contact AJP Digital Services if you would like to:

  • ask what personal information is held about you;
  • correct inaccurate contact information;
  • update your communication preferences; or
  • request deletion of information where it is appropriate and lawful to do so.

Some records may need to be retained for legitimate business, accounting or legal reasons.
